Job Summary

The ideal candidate will be a flexible professional and capable self-starter who takes initiative, is willing to assist where needed, thrives in a team environment and can handle a fast-paced setting. This position interacts daily with executive management, senior leadership and critical external guests.

Roles/Responsibilities:

  • Establish and maintain strong working relationships with members of the executive leadership team and other administrative professionals
  • Interact effectively with both internal and external visitors to the executive floor
  • Ability to maintain the highest level of confidentiality with sensitive information
  • Ability to work effectively under tight, and often competing, deadlines
  • Manage the executive floor reception area (including the coffee bar waiting area) and provide backup assistance to other administrative staff as needed
  • Prioritize and manage multiple projects simultaneously, and follow through on issues in a timely manner
  • Process and screen incoming and outgoing communication and correspondence to ensure proper dissemination of information
  • Assist the IR/Communications team with the preparation of regular investor relations communications, including Board of Directors reports, management reports and daily investor relations information
  • Assist with the arrangement of travel and transportation for the executive teams
  • Assist executive leadership with the creation and preparation of presentation materials as needed
  • Prepare support materials to facilitate the leadership teams’ discussions with investors
  • Responsible for heavy calendar management, including the coordination of complex management meetings, calendar invites, room scheduling and scheduling conference calls
  • Responsible for collecting, preparing, and submitting for approval expense statements for the teams

Skills and Qualification:

  • Bachelor’s degree preferred
  • Focused on providing excellent customer service
  • 5+ years’ administrative support experience
  • A strong degree of confidentiality
  • Prior upstream oil and gas experience preferred
  • Show extreme attention to detail, organized, responsive and has a strong work ethic with strong analytical and problem solving skills
  • Excellent presentation and verbal/written communication skills with the ability to interact effectively across departments with all levels of staff and outside contacts
  • Strong proficiency in Microsoft Office Suite including Power Point, Visio, Outlook, Word and Excel required
